Remote

A Remote Implementation is where we are actively involved in every step of the project but do not physically come on-site either because our (or our Business Partner's) office location relative to yours as the client do not make it practical for us to do so, or otherwise in an effort to reduce cost.

Because of the nature of the implementation process, instead of meeting to discuss the various project aspects, the client must devote time to completing a series of documents and e-mailing them to us. These documents may look daunting, but certainly the time taken to complete them will always be substantially less than what would usually be allocated to meetings discussing the same topic. This is a major cost saving advantage. A questionnaire that is carefully completed by the client results in very little ambiguity in the long run. For this reason our consultants fill out the same documents in an on-site implementation. This allows us at ExchangeWise to offer the same professional service irrespective of whether our clients are in Irvine, California or Barcelona, Spain.

When implementing a project remotely, we generally follow the process as described below. These major implementation steps may be done at the same time, or overlap:

Project Planning/Management

  • Complete Project Definition Document
  • Complete Roles and Responsibilities Document
  • Setup initial Project Plan (Microsoft Project Format)
  • Write regular Project Status Report

Business Analysis

  • Complete Business Overview Document
  • Complete User Requirements Document
  • Define users and user permissions/rights – Complete User List Document
  • Define Functional Specification for any Data Integration/external VB applications
  • Develop & document data conversion mapping of tables & fields. Complete Data Mapping Document.

Development and Integration

  • Develop MX-Contact forms
  • Develop additional VBScript required
  • Develop external applications
  • Develop integration to other systems
  • Develop reports
  • Perform internal system testing

Data Conversion

  • Develop import templates
  • Develop import scripts
  • Prepare import data
  • Test data conversion
  • Execute final import
  • Save database in Personal Folders (.pst) format

Pre-Installation

  • Complete IT Infrastructure Document
  • Site Audit – Verify Hardware Software Upgrades. Complete Site Audit Document
  • Internal Installation & Testing

Installation

  • Despatch Software & Database (if applicable)
  • Verify installation with IT Personnel. Complete Installation Checklist Document

Documentation

  • User manuals/Help screens – customise if required
  • Administrator manuals – customise if required
  • Configuration documentation
